Welcome to Panchabhuta Retreat. By using our website or booking any of our retreat services, you agree to comply with and be bound by these terms and conditions. If you do not agree to these terms, please refrain from using our website.

General Rules

• Check-in is at 2:00 PM IST, and Check-out is at 11:00 AM IST.  Early check-in subject to availability, please inform us in advance
• Should you require additional beds during check-in, they will be available at an additional charge
• Pets are allowed and there will be an additional fee and a few friendly pet rules to follow
• Nature based experiences such as the Pepper Queen Trek, Mangrove expedition and others will be at an additional cost / person

House Rules

Homestay Operating hours: Our dedicated staff works tirelessly throughout the day to provide a world-class experience at our retreat. We kindly request your cooperation in concluding all operations by 10:30 PM. This allows our team to receive the essential rest needed to return rejuvenated, ensuring the continued delivery of a consistent and exceptional experience

In-house Restaurant (A’KA) Operating Hours:

• Breakfast: 8:00 AM – 10:00 AM
• Lunch: 12:30 PM – 2:30 PM
• Dinner: 7:30 PM – 9:30 PM
• The end time indicates the last order that can be placed for each meal
• Coffee/Tea/Juices/Ice creams can be served throughout the operating hours of the homestay

Complimentary Breakfast:

• Includes a diverse selection
• Non-standard items ordered will incur additional charges
• Food Consumption: Not encouraged in rooms to preserve ambiance and cleanliness
• Beach Sand: Use the outdoor shower to remove sand before entering the property
• Outside Food: No outside food or snacks allowed on the premises, except for baby food
• Food Wastage: Please avoid wasting food during your stay
• Towels and Bathrobes: Use beach towels provided; avoid taking room towels and bathrobes to the beach
• Noise Level: Loud music is not permitted
• Smoking Policy: Smoking is not allowed inside; permitted just outside the entrance
• Alcohol: Outside wines and beers not permitted; available for purchase on-site
• Kitchen Access: Kitchen access is restricted for guest use

Transportation: 

• No bike or car rentals
  
• Taxi/Auto arrangements can be made if needed

Booking and Reservations

• Booking Process: All reservations must be made through the website, via email, or through authorized booking channels.
• Deposit and Payment: A non-refundable deposit of [amount] is required to secure your booking. Full payment is required [insert number] days prior to the retreat date. Failure to make the full payment will result in the cancellation of your reservation.
• Confirmation: Once your booking is confirmed, you will receive a confirmation email with the details of your stay.

Cancellation and Refund Policy

• Cancellation by Guests:
  • Cancellations made 30 days or more before the retreat will be eligible for a 50% refund, excluding the deposit.
  • Cancellations made less than [number of days] before the retreat will not be eligible for any refund.
• Cancellation by Panchabhuta Retreat:
  • We reserve the right to cancel any stay due to unforeseen circumstances such as low bookings, weather conditions, or other external factors. In such cases, guests will be offered a full refund or an option to reschedule.
  • Panchabhuta Retreat is not liable for any other expenses incurred by the guest due to cancellation.

Health and Medical Considerations

• Guests are responsible for ensuring that they are in suitable health to participate in the retreat. Any pre-existing medical conditions must be disclosed during the booking process.
• Panchabhuta Retreat is not responsible for any injuries or medical conditions that arise during the stay.
• Guests are advised to have valid travel insurance, which should cover medical expenses and personal injuries.

• Accommodation: Accommodation is provided as described in your booking confirmation. Panchabhuta Retreat reserves the right to make changes to accommodations in the event of unforeseen circumstances.

Liability Waiver

• By staying at Panchabhuta Retreat, the guests acknowledge the inherent risks involved in physical activities and voluntarily assume full responsibility for any personal injuries or damages.
• Panchabhuta Retreat is not responsible for any loss, damage, or theft of personal property.

Code of Conduct

• All guests are expected to behave in a respectful manner towards other guests, instructors, and staff.
• Panchabhuta Retreat reserves the right to dismiss anyone from the retreat without refund for inappropriate behavior or failure to adhere to these terms.

Use of the Website

• Intellectual Property: All content on this website, including text, images, logos, and branding, is the intellectual property of Panchabhuta Retreat and is protected by copyright laws.
• Prohibited Activities: The misuse of this website, including unauthorized access, tampering with the website’s functions, or any other harmful activity, is strictly prohibited.

Privacy Policy

• We will never share or sell your personal information to third parties without your consent.

Amendments to the Terms

• Panchabhuta Retreat reserves the right to amend these terms and conditions at any time. Any changes will be effective upon posting on our website. It is the responsibility of the guest to review these terms periodically for any updates.
